What disappears
All of it. MyFBO has run scheduling and billing for general aviation for more than 25 years, and when the servers go off, the member records, account balances, aircraft rates and years of flight history go with them. There is no archive you can write to later and no support desk to appeal to in September. If your club has ever needed to answer “what did we agree the rate was in 2022?” or “how much did Dave actually owe when he left?”, that answer stops existing.
What to export before then
Log in and run every report the system will give you, then save each one as CSV or Excel. The four that matter are your member list with balances, your aircraft and their rates, your flight or activity history, and your invoices or charge ledger. Take the widest date range the report will accept — decades of flight history costs nothing to keep and cannot be recovered afterwards. Drop all four into the tool above and you will get them back cleaned up, with the columns named the same way every time.
What to do if you have already lost access
Ask around the club before you assume it is gone. Treasurers keep spreadsheets, someone almost always has an emailed statement or a printed report, and old backups turn up on club laptops more often than you would think. An Access database can be exported to CSV from Access itself (External Data → Export → Text File); a stack of PDFs usually means someone printed a report that could have been exported, so ask whoever made them to use Export instead. Anything that becomes a CSV or spreadsheet, the tool above will read. For everything else — finding a replacement, running a club, the paperwork side — the AOPA Flying Clubs resources and the EAA Flying Club Resource Center are both genuinely good and neither is trying to sell you software.
What we do with your data
Nothing. Your file is read inside your own browser tab and never uploaded — the download button works with our servers switched off. If you choose email delivery instead, the finished CSVs pass through our server only long enough to be attached to the message, are never written to a disk, and are gone the moment it is sent. The only thing we keep is the email address you typed and how many members, aircraft and flights we counted, so we know how big a club we just helped. Never a name, never a tail number, never a balance. We do not sell anything to anyone, ever.
